Kaleidoscope ABA is looking to hire a Clinical Manager who will assume responsibility for the supervision of their Clinic center(s) and the BCBAs, RBTs, and BTs. The Clinical Manager is responsible for the oversight of the delivery of direct care services in order to accomplish clinical oversight, managing staff; planning and evaluating staff work processes. The Clinical Manager is also responsible for maximizing utilizations by directing the activities of the assigned office locations/teams, providing high quality customer service, ensuring Clinical oversight, achieving budgeted hours, recruiting, and delivering service through a trained and motivated staff.

Responsibilities
  •  Supervise assigned staff by providing leadership to maximize department efficiency by administering company personnel policies and procedures:
  •  Direct personnel activities of staff (hire, train, appraise, motivate, discipline, address complaints and resolve problems, leaves, work schedules and assignments, recommend termination as necessary etc) while maintaining employee relations.
  •  Educate staff in company processes; initiate, coordinate and enforce policies and procedures to accomplish team/office objectives and obtain staff results by communicating expectations.
  •  Evaluate effectiveness of staff; recommend and implement necessary changes.
  •  Document disciplinary and performance related counseling/coaching.
  •  Perform personnel reviews/evaluations.
  •  Ensure Incident Management per state is followed and completed as necessary.
  •  Maintain a case load of scheduled 25 billable hours.
  •  Administer assessments including but not limited to VB MAPP, Essentials for Living, Functional Assessments, and Functional Analysis’.
  •  Quality Management duties including updates to quality management plan and ensuring compliance with state regulations and guidelines.
  •  Maintain good employee relations by anticipating, communicating, documenting, and resolving issues and people problems.
  •  Responsible for maximizing market penetration for meeting budget goals:
  •  Develop and maintain a Business Plan sufficient to meet budgeted office/team goals.
  •  Obtain additional business through telephone and personal sales calls to prospective and active clients.
  •  Assign and distribute open referrals to staff; monitor status of client referrals/assessments
  •  Monitor recruiting efforts, direct and implement changes as needed to ensure timely filling of client needs.
  •  Conduct the daily prioritization and bi-weekly overview to monitor progress on open referrals.
  •  Review daily weekly and monthly billable hour expectations with each BCBA.
  •  Implement Clinical Integrity for documentation to ensure employee competence.
  •  Review notes and treatment plans regarding clients and observe staff member’s work.
  •  Complete integrity sheets on BCBA’s to ensure the BCBA’s are completing BT/RBT integrity data monthly.
  •  Address any people issues and determine whether it requires escalation to HR and take appropriate action. Discuss with operations manager.
  •  Ensure effective utilization of personnel by overseeing staff.
  •  Monitor the knowledge and skill level of staff to identify any development and/or training needs and act to remedy them
  •  Maintain a continuously updated plan to improve personnel deficiencies.
  •  Review staff ReThink entries to ensure correctness and accuracy:
  •  Each child has a Treatment Plan including discharge plans, Goal Plan and Score Sheets.
  •  Review client accounts for insurance authorizations and eligibility, and renew them bi-annually prior to expiration by sending the re-assessments to insurers for authorizations.
  •  Review schedules and check client accounts for Parent Training sessions and randomly review that, accurate notes are entered into ReThink, weekly.
  •  Ensure BCBAs and R/BTs enter correct session times to actual time worked to avoid billing issues when notified by billing.
  •  Ensure canceled sessions are noted in ReThink to avoid billing issues when notified.
  •  Maintain integrity of the Company’s processes by establishing and implementing routines to manage performance, strategic goals and Company policy.
  •  Encourage "100%" utilization.
  •  Evaluate client information and identify when updates are required.
  •  Monitor note completion process and maintain a zero violation policy.
  •  Review, analyze, and implement corrective action for the personnel on a daily, weekly and monthly basis by monitoring personnel benchmarks including but not limited to:
  •  Completion of daily notes.
  •  Decrease non-billable hours.
  •  Complete and review treatment plans.
  •  Compliance with 35 scheduled billable hours per BCBA.
  •  Maintain quality and prompt customer service.
  •  Enforce quality and customer service standards.
  •  Identify, investigate, resolve and record problems.
  •  Organize and conduct meetings with staff to accomplish office/team goals and resolve problems.
  •  Conduct weekly meeting with each BCBA to determine work schedule to target daily/weekly production goals.
  •  Meet with team members weekly along with Operation Manager to meet necessary supervision standards, review objectives and progress toward goals, implement new procedures, resolve concerns, and brainstorm.
  •  Implement the feedback received by results management and other key personnel regarding office indicators and personnel and integrate as performance goals. Review internal auditing results and take appropriate action to rectify violations by office/staff.
  •  Review issues identified by the internal billing team weekly and take appropriate action to rectify identified errors before billing locks for the week.
  •  Review service billing and non-service billing logs weekly.
  •  Ensure supervisory sessions have been completed and notes are entered into ReThink.
  •  Check R/BT notes for accuracy and correct methodology (SOAP), when requested.
  •  Must fill in for RBT/BT/BCBA when vacant or staff unavailable.
  •  Attend job fairs, conferences and marketing events, when necessary.
  •  Ensure personnel compliance with all HIPAA requirements and BACB Standards.
  •  Review and comprehend all regulations set forth by the client to ensure compliance (e.g., HIPAA compliance on record keeping). BACB regulations.

Required Education&experience
Education:
  •  Master’s Degree in a human service field such as Applied Behavior Analysis, Education, Psychology, Child Development or a related human services field
  •  BCBA clinical license required
  •  State license, if required
  •  CPR certified
Experience
  •  3-5 years clinical ABA therapy experience
  •  3 years clinical supervision experience
  •  3 years of management experience, multi-location experience preferred
  •  Extensive knowledge of Behavior Plan creation, assessments (i.e., ABLLS, VB-MAPP, Vineland, AFLS, PEAK), trend analysis, discrete trial training, errorless teaching strategies, and choral responding techniques
Ability to bend, kneel, crouch, and spend time on their feet.
Ability to lift items to 50 lbs. on occasion.
